Clinical Report Workshop: An initiative by the Clinical Governance Team

Introduction

In an effort to enhance the knowledge and utilization of IT initiatives, best practices, and various applications such as the Hospital Management System (HMS), PowerBI, and the Quality app, a successful series of workshops and training sessions were conducted for all the Kauvery Hospital units across all three regions by the Clinical Governance team.

Overall objectives

The overall objectives of this initiative were:

  1. Understanding Clinical MIS Parameters and their Significance: Participants gained a deeper understanding of the key clinical MIS (Management Information System) parameters and their importance in healthcare operations.
  2. Learning Data Capture Methodology from HMS: The training sessions focused on educating participants on the proper data capture methodology for each parameter within the HMS system.
  3. Knowledge Transfer of New IT Initiatives and Best Practices: The workshops provided a platform to share information on new clinical reports, IT initiatives, and best practices, empowering participants to make the fullest use of the available IT applications.
  4. Identifying Future IT Requirements: Participants were encouraged to identify new IT requirements for automating processes and implementing clinical triggers to be considered for future implementation.

A total of 120 participants from across the 12 units benefited from this comprehensive training initiative. The workshops and training sessions were conducted in two formats: interactive workshops and direct training for heads, in-charges, and secretaries on the floor. This approach ensured that the knowledge and skills were effectively transferred to all levels of the organization. Through this initiative, the organization has taken a significant step towards enhancing the utilization of IT applications and promoting the adoption of best practices across the healthcare network. By empowering the participants with the necessary knowledge and skills, the organization aims to drive continuous improvement and optimize the delivery of healthcare services.

Significance of MIS, Glimpse of the talk by MD & GMD:

Dr. Manivannan, Managing Director of Kauvery Hospital, discussed the Clinical Management Information System (MIS) and its significance in identifying areas of improvement across various units and departments. The Clinical MIS, initiated in 2007, monitors parameters such as surgical site infection, mortality rate, antibiotic usage, and pressure ulcers. Additionally, the Clinical Governance team manages 11 other MIS, including Physiotherapy, Dietetics, Blood Bank, and Lab. The importance of MIS lies in presenting the right data to identify areas of improvement, which can lead to reducing fatal errors, costs, and improving patient satisfaction. The workshop will focus on active patient surveys, discharge patient surveys, antibiotic reports, drug alerts, and clinical triggers. This data will be useful for future NABH assessments and quality evaluations, making it essential for all hospital staff to participate in the workshop. We will be able to improve the patient delight in that way we will create a fantastic brand for Kauvery.

Dr. Venkita Suresh, Group Medical Director of Kauvery Hospital and Head of the Clinical Governance department, highlighted the importance of Management Information Systems (MIS) in healthcare. In a comprehensive overview, he outlined seven key points that underscore the significance of MIS in improving patient care and patient safety.

  1. Regular Workshops: Regular workshops will help prevent duplication of work, channelize its requirements, organize, and steer clinical governance as a team to ensure patient care and safety.
  2. Expected Forum and Workshop: The workshop was an expected and welcome opportunity for participants to learn and grow.
  3. Frequency of Workshops: Organizing workshops like every six months will help fill gaps and provide ongoing support for new joiners.
  4. Knowledge Transfer: The knowledge transfer that took place during the workshop will undoubtedly enhance the abilities of participants to deliver quality care and improve patient outcomes.
  5. New Opportunities: The workshop was a valuable experience for new joiners, providing them with the necessary skills and knowledge to excel in their roles.

Action plan

The Clinical Governance Team has outlined a comprehensive plan to fine-tune existing reports in HMS, Power BI, and Quality App, with 60 action points identified. The team will work to implement these action points as required, ensuring that the reports are optimized for efficient data analysis and improved patient care.

Conclusion

Overall, the workshop was a valuable experience for new joiners and as refresher training for others providing them with the necessary skills and knowledge to excel in their roles. The Clinical Governance Team’s efforts in organizing the workshop were particularly commended for their effectiveness in enhancing clinical governance through utilization of various IT applications within the organization.
